1. Speak to people with experience
Talking to people within your organisation who have experience in planning and taking part in international travel will give you a better understanding of everything that’s involved in getting a trip off the ground, from safety considerations to paperwork and more.
Fellow volunteers will be able to give you helpful advice and guidance to make organising a trip as straightforward as possible. Contact your Local International Advisor or Lead Volunteer, Local Commissioner or similar, who will be able to direct you to the right place to start.
You’ll be told about all of the required paperwork needed for the trip to take place, but we’ve got plenty of documentation on hand for you, ready to go. Take a look at our downloadable handbooks and policies.
2. Get in touch with us!
When you’re ready to enquire, our team of friendly experts are on hand to discuss your options. If you’re enquiring just to learn more about a specific destination, need general advice or have an idea you’d like to share, we can offer specialist advice and recommendations based on your group’s requirements.
We also do ad hoc trips, so if you have a destination in mind that isn’t on our website, contact us to see if we can help turn your idea into a reality.
3. Get a quote from your dedicated tour consultant
Before you book your international trip, you’ll need to know how much it costs. A quote will be put together by your dedicated activity tour consultant, which will include the price of your tour, with any excursions, inclusions and added extras you’ve requested.
We’re always upfront and transparent about costings, so you won’t find any hidden fees within your quote. If you’d like to make any changes to your quote, please inform the team, and they will be happy to help.
4. Prepare for launch!
Get ready for the big launch with the help of our Party Leader Launch Pack! At Venture Abroad, we aim to make launching an international trip as easy as possible; that’s why we’ve put together a step-by-step launch guide, a personalised PowerPoint presentation and launch letters to parents.
5. Book your trip
After launching the trip, it’s now time to book! We take care of setting payment schedules for deposits and help you complete important documents, leaving you to enjoy the anticipation and excitement of the buildup.
6. Refine your itinerary
After we’ve confirmed your booking with us, you’ll then be introduced to your dedicated tour coordinator, who will work with you to perfect your itinerary. Your tour coordinator is on hand to answer any questions you have, and they will book the necessary arrangements and put together the final document pack, which you can find on our free handy app Vamoos!
7. Get ready to depart!
The final step is here, and it’s time to depart! Whether you’re travelling by air or coach, you’re in for an adventure of a lifetime, and your tour coordinator will be waiting to hear all about it when you return home!
